Privacy Notice
This notice explains the information processed by FiberMan Cloud Services and the additional Google data flow used when hosted geocoding is enabled.
Effective: 27 August 2026
1. Scope and roles
This notice covers cloud.getfiberman.com and Cloud Services requests made by licensed FiberMan installations. The FiberMan service operator identified in your commercial agreement operates this service. A customer using FiberMan remains responsible for the personal data it chooses to process and may act as the controller while the service operator acts as its processor, as specified in that agreement.
2. Information processed
- Administrator data: Hub user identifier, name, email address, role, session and security information needed to authenticate administrators and record administrative actions.
- Installation data: licence and installation identifiers, device-key thumbprints, enabled capabilities, provider entitlements, and quota configuration.
- Service telemetry: request time, capability, success or failure, response duration, usage counters, security events, and limited network information such as an IP address where required for abuse prevention and operations.
- Geocoding input: an address or coordinates submitted for search, plus optional language, country, or geographic bias. Do not include information that is not needed to locate the address.
- Map requests: catalog item, revision, zoom, and tile coordinates needed to deliver and cache an enabled map asset. These normally describe a map viewport rather than a person.
3. How information is used
Information is used to authenticate customers, provide requested geocoding and map content, enforce licences and quotas, secure and troubleshoot the service, produce per-installation usage reports, maintain audit records, and comply with legal obligations. Cloud Services does not use this information for third-party advertising or sell personal information.
4. Google Geocoding API
When Google geocoding is enabled, Cloud Services sends the submitted address or coordinates and any selected language, country, or geographic bias to Google's Geocoding API over HTTPS. It does not send the FiberMan username or installation identifier to Google as part of that provider request. For the current EEA billing configuration, FiberMan requests and returns only latitude, longitude, and Google place ID from Google; the visible search label is derived from the text supplied by the user.
Google processes provider requests under the Google Privacy Policy, the Google Maps End User Additional Terms, and the Google Maps Platform terms applicable to the operator's EEA billing account.
5. Storage and retention
The geocoding request path does not persist the submitted search text or Google response in the Cloud Services application database. Responses are marked not to be stored by browsers or shared caches. The service retains per-installation usage totals and limited operational, security, session, and audit records for the periods needed to operate the service, investigate abuse, meet the commercial agreement, and comply with law. Openly licensed map assets may be cached separately under their published cache policy.
6. Cookies
The public legal pages do not require cookies. The administrator interface uses a short-lived, strictly necessary Cloud Services session cookie after authentication through FiberMan Hub. Cloud Services does not receive the user's Hub session cookie and does not use advertising cookies.
7. Disclosures and service providers
Information may be processed by FiberMan Hub for identity and licence authorization, Google when its geocoding provider is enabled, infrastructure and hosting providers used to operate the service, and professional advisers or authorities where required by law. Providers receive only the information needed for their role and are subject to applicable contractual and legal safeguards.
8. Security and international processing
Cloud Services uses encrypted transport, short-lived credentials, installation-bound cryptographic proofs, access controls, protected configuration, and operational monitoring. No system is completely secure. Providers may process data outside your country; applicable agreements and legal transfer mechanisms govern those transfers.
9. Your choices and rights
Customer administrators can control enabled providers and should limit access to authorized users. Depending on applicable law, individuals may have rights to access, correct, delete, restrict, object to, or receive a copy of their personal data, and to complain to a supervisory authority. Contact your FiberMan customer organization first for data it controls, or contact the service operator for Cloud Services account and operational data.
10. Changes
This notice may be updated when providers, data flows, or legal requirements change. The effective date above identifies the current version. Material changes will be communicated through an appropriate service or contractual channel where required.
